Europakonferenz 2025 in Wien - weltweite Verbundenheit ganz nah!
Die Vorbereitungen für die Europakonferenz 2025 in Wien haben bereits gestartet. Wir freuen uns, dass wir mit der Messe Wien einen großartigen Austragungsort für die Konferenz gewinnen konnten. Damit auch die inhaltliche Planung so richtig starten kann, braucht es natürlich ein starkes Team von Freiwilligen, die sich um Planung und Durchführung der Konferenz kümmern. Daher suchen wir für Head of Communications, Head of Program und Head of International Relations begeisterte Leute, die sich bei der 18. Europakonferenz in Wien engagieren wollen!

Head of Program
Role Description
The head of Program will be a member of a Core Conference Organisational Team and will play a supporting role to the Conference Director to engage effectively through organising in-conference events: International Evening, Cultural Event, Opening and Closing Ceremonies.
This position requires a creative soul with excellent interpersonal and organisational skills working with the main team to develop and implement ceremonies and events.
The Head of Program will be leading a Program Team.
Responsibilities
- Event Management:
- Create and organise Opening and Closing Ceremonies in cooperation with WOSM, WAGGGS, stakeholders and hosts.
- Create and organise a half-day cultural experience event for 600 participants.
- Coordinate the International Evening in providing space and support for MOs to present their organisations and cultural traditions.
- Stakeholder Engagement: Collaborate with key stakeholders, partners, and external agencies, to ensure effective communication and collaboration that enhance visibility and influence of scouting.
- Team lead:
- Gather, lead, and coordinate the main program.
- In cooperation with Volunteer manager coordinate short term event volunteers.
- General management: work within the projected budget frame and time schedule.
- Contribute as an active member of the Core Conference Team and work closely with the Conference Director.
Qualifications and skills
- Experience in event management.
- Strong written and verbal communication skills in English and German.
- Ability to develop and implement program, budget and content creation.
- Excellent interpersonal and relationship-building skills, with the ability to engage and collaborate with diverse stakeholders.
- Strong organisation and time management skills, attention to detail.
- Ability to build a volunteer team and successfully manage it.
Personal Qualities
- Member of PPÖ.
- Detail-oriented self-starter with the ability to work independently and collaborate with team members.
- Commitment to attend and report in core team meetings every 2 months plus run own team meetings as needed until the end of 2025.
- Commitment to fully attend the European Guide and Scout Conference 2025.
Head of international Relations
Role Description
The head of International Relations and will be a member of a Core Conference Organisational Team and will play a supporting role to the Conference Director to engage effectively through communications with WOSM, WAGGGS, MOs, different stakeholders and public institutions.
This position requires a good communicator with excellent interpersonal and organisational skills working closely with the main team to ensure a smooth collaboration with World and Member organisations.
The Head of International Relations will need to establish their own team that supports the development of a conference program and negotiate it with all partners and necessary stakeholders.
Responsibilities
- Program Communication: will work closely with WOSM and WAGGGS conference planning teams, office representatives and both committees to ensure smooth organisation and implementation of the conference.
- Administrative and Institutional support: in cooperation with Administration team will oversee communication with Austrian National Public Institutions to support participants and/or other stakeholders in the visa application process.
- International Communication: will organise and run international communication with MOs, will contribute to newsletters in cooperation with the core team and run a full international support service.
Qualifications and skills
- Experience in international relations or communications in a non-profit or international organisation is an asset.
- Strong written and verbal communication skills in English and German. French and Russian is an asset.
- Experience in running a big-scale international event is an asset.
- Excellent interpersonal and relationship-building skills, with the ability to engage and collaborate with diverse stakeholders.
- Strong organisation and time management skills, attention to detail.
Personal Qualities

- Detail-oriented self-starter with the ability to work independently and collaborate with team members.

Head of Communication & Marketing
Role Description
The head of communications and marketing will be a member of a Core Conference Organisational Team and will play a supporting role to the Conference Director to engage effectively through external communications, particularly through leadership for social media, blog articles, media opportunities, to raise the profile and influence of Viennese Scouts, PPÖ and international scouting.
This position requires a creative communicator with excellent interpersonal and organisational skills working closely with the main team to develop and implement communication strategies that enhance the visibility and influence of scouting.
The Head of Communications and marketing will a team for communications.
Responsibilities
- Strategic Communications: Collaborate with the Conference Director and other stakeholders to develop and implement communication strategies aligned with the conference’s priorities with a focus on external engagements.
- Social Media: Create and implement content plans, messaging and visuals, create graphic design content.
- Event Communications: Provide communications support such as writing blog posts, preparing video messages, supporting media coverage, preparing promotional materials and managing communications for keynotes, panels and other speaking opportunities.
- Stakeholder Engagement: Collaborate with key stakeholders, partners and external agencies, to ensure effective communication and collaboration that enhance visibility and influence of scouting.
- Contribute as an active member of the Core Conference Team and work closely with the Conference Director.
Qualifications and skills
- Experience in communications or public relations in a non-profit or international organisation is an asset.
- Strong written and verbal communication skills in English and German.
- Ability to develop and implement communication plans and content creation across various channels.
- Proficiency in digital communication tools, social media platforms and content management systems.
- Experience in creating a graphic design content.
- Excellent interpersonal and relationship-building skills, with the ability to engage and collaborate with diverse stakeholders.
- Event management and media relations experience is an asset.
- Strong organisation and time management skills, attention to detail.
- Ability to build your own communications and marketing team and take the lead of their performance.
